How to Place a Technical Services Work Order

On Individual Items

Best used for items that need to be pulled
  1. From the Alma homepage search bar search for item using the "Physical Items" search.
  2. Navigate to the item you want to place on work order and select "Work Order" from options along bottom of the displayed record.
  3. From "Process Type" select Technical Services.
  4. If you need the item pulled the "Do not pick from shelf" needs to be unchecked.
  5. Optional: Add a note to indicate how you want the item to be handled.
  6. From "Managing Department" select Main Circulation Desk.

Batch Work Order

Best used if you have item(s) in hand
  1. In Alma with the desk set to “Simpson Library – Main Circulation Desk” press Ctrl+Alt+S or navigate to the "Scan in items" screen.
  2. Set “Work Order Type” to Technical Services
  3. Set “Set Status To” whatever applicable status.
  4. Scan in each item that needs to go on work order in the “Scan item barcode” field.
  5. Route to appropriate person.

How to Process a Technical Services Work Order

Handle Incoming Technical Services -- Work Orders

Most Technical Services work orders are put in either by students aides who have flagged older editions of items or by the Acquisitions Specialist who has requested an earlier edition be withdrawn. When a Technical Services  work order is placed in Alma students on the first floor pull the request and place it on the shelf on the second floor labelled "Technical Services – Work Orders". The Technical Services Specialist is responsible for picking up these items and evaluating the requests. Details about why the request was placed can be found in the notes field of the request.
Process a Technical Services work order
  1. Incoming books should be placed on the "Technical Services – Work Orders" shelf on the second floor. The Technical Services Specialist is responsible for checking this shelf.
  2. In Alma change the search dropdown to Requests and scan barcode.
  3. On this screen you should be able to find the notes field and the reason for the request.
  4. To complete the request select "Manage In Process" items button in top corner. 
  5. Find the item and click on the 3 button icon at the end of the row and select "Done."
