Receiving Serials

After sorting the serials mail the incoming serials need to be processed before being placed out on the current periodical shelving:
  1. In Alma you'll need to go to Acquisitions > Receiving and Invoicing > Receive.
  2. There are two tabs: One-time and Continuous.  Click on Continuous.
  3. In the search box under Receive New Material search for the title you have in hand.
  4. Identify the appropriate record for the library location and click the 3 dot button at the end of the line and select Manage Items.
  5. Find the latest predicted item and verify that the information in Alma matches what is on the issue.
  6. Click the 3 dot button at the end of the line and select Receive.
  7. Stamp the serial with the serials department stamp with today's date.

Note: The library will often receive serials that are not added to the collection. Do not discard any of these items.  Make sure they should not have been routed to another member of the library or to another staff member on campus.  If they do not have an apparent owner, route to Summer Durante.

Removing Serials

Following the retention policies, once the items no longer need to be kept in our collection, they should be withdrawn in Alma 
  1. Look up the serial title in Alma using the search bar. Make sure you are searching All titles
  2. After selecting the right record, click Holdings. Find the holding for Periodicals. Using the 3 dots at the end of that row, click on View Items.
  3. Check the Description column to find the issue(s) of the serial you are looking to remove. Select the item(s) by checking the box.
  4. Go to the top of the screen to Manage Selected. From the dropdown menu, choose Withdraw items. Click Confirm when the Confirmation Message box pops up. 
  5. Discard the item into the recycling bin. Repeat process for all serials needing to be removed.

Moving Serials from Periodicals to Stacks

Following the retention policies, some items are moved from current periodicals to stacks 
  1. Look up the serial title in Alma using the search bar. Make sure you are searching All titles
  2. After selecting the right record, click the link next to the green dot,  Physical(3). Click the holdings link. For the Periodicals holding, Using the 3 dots at the end of that row, click on View Items.
  3. Check the Description column to find the issue(s) of the serial you are looking to move. Select the three dots at the end of the item and pull down to Edit.
  4. Place a barcode on the item and scan the barcode into the barcode field in the Physical Item Editor. This saves the item information and closes the window. 
  5. Repeat process for all items needing to be moved to Stacks.
  6. Check the items that you want to move.  Click on the Manage Selected link and pull down to Change Holdings.
  7. Select the radio button next to Stacks and click Select.  The items are moved to the Stacks Holding record.
  8. Open the holdings record for Stacks.  Edit the 866 field to reflect the moved items.
